Overview

When sending email from within HelpMaster, most organisations generally want all, or most, staff to "Send As" or "On Behalf Of" a shared Exchange mailbox e.g. helpdesk@domain.com. By default however, Sent Items will only appear in the user's default mailbox "Sent Items" folder. In Exchange Server 2010 Microsoft introduced the ability to copy all Sent Items to the shared mailbox's Sent Items folder with Update Rollup 4 for Exchange Server 2010 Service Pack 2 (KB2706690). All later versions of Exchange Server also have this capability but it is not enabled by default.

Resolution

Update on-premise Exchange Servers to at least Update Rollup 4 for Exchange Server 2010 Service Pack 2 (KB2706690). Then enable the feature using the Exchange Management Shell (EMS) powershell commands as follows.Replace <mailbox name> below with the name of your shared mailbox first.


EXCHANGE SERVER
(On Premise)

For emails Sent As the shared mailbox:

set-mailbox <mailbox name> -MessageCopyForSentAsEnabled $True

For emails Sent On Behalf of the shared mailbox:

set-mailbox <mailbox name> -MessageCopyForSendOnBehalfEnabled $True

 

To disable this feature run these powershell commands.

For messages Sent As the shared mailbox:

set-mailbox <mailbox name> -MessageCopyForSentAsEnabled $False

For emails Sent On Behalf of the shared mailbox:

set-mailbox <mailbox name> -MessageCopyForSendOnBehalfEnabled $False

 

OFFICE 365 (Online mailboxes)

Login to your Office 365 Admin center and from Groups > Shared mailboxes find and select the shared mailbox you wish to enable this feature on. Select Edit on the Sent items row.

Then turn on the options Copy items sent as this mailbox and/or Copy items sent on behalf of this mailbox.
